Use Excel to make your work well

Implementing some more complicated projects in daily work often requires the cooperation of multiple departments. If the arrangement is not correct, it will delay the work. To this end, many organizations have cited professional project management software, such as Microsoft's Project. However, this software is too complicated to use. In fact, for individuals, to manage a project, Excel is enough for daily use. It can completely replace Project's work, greatly improving efficiency and saving us time. The following system home Xiaobian will introduce you how to use Excel to improve work efficiency and make the work well. Microsoft Project 2010 (with activation key) Simplified Chinese version: http://www.xp85.com/html/Microsoft_Project_2010.html Tips: What is WBS? WBS (Work Breakdown Structure) is a project management term, namely W (work, work task), B (breakdown, decomposition, scientific and effective decomposition of work tasks), S (structure, structure, right The entire task is combined according to a certain structure) an abbreviation of the three word prefix. For some more complex tasks, WBS decomposition can effectively improve work efficiency and save the time of completion of the entire project. For example, the National Day holiday is coming soon. A winery needs to make a supermarket promotion project. This project involves the collaboration of the production workshop, inspection workshop, logistics department and various departments of the promotion department. In order to ensure the implementation of the entire project, a detailed promotion plan must be developed. Here's how to create and manage the project plan through Excel (other project tasks may be different, but the methods are generic). Microsoft Office 2013 (Professional Plus) Simplified Chinese version: http://www.xp85.com/html/Office2013.html First of all, we must determine the overall plan of the project (ie Work) is to promote the National Day Mall counters, boost the company's Sales in the third and fourth quarters. Next, we must decompose the project (ie, breakdown), and clarify the division of labor and cooperation of each department, so as to ensure the smooth implementation of the project. Based on the experience of previous projects, it is divided into six sub-items (structure). After starting Excel, A1 & rarr; A3 three lines and one row merged to center, then enter the description of the sub-item in A4, start and end time, and use the fill method on the right side to add the date and week, so that we can follow the time Check the progress of the project (Figure 1). Figure 1 Production project decomposition table Tip: General projects can be decomposed according to time and department cooperation, and the time of completing the project is taken as the main line. According to the specific project participation department, the subproject is decomposed as a subproject part. For projects that require more granular management, specific work can be broken down into individuals. The main purpose of the decomposition project is to save time and improve work efficiency. Therefore, after completing the construction of the sub-project content, you can also make a Gantt chart, so that we can check the progress of the work in time. The creation of the Gantt chart uses color to fill the time table, and the color can correspond to the actual person in charge. For example, select the D4 (Group A) cell, right-click and select “Set cell format”, and in the pop-up window, switch to “Fill” and select a suitable color such as purple to fill it (Figure 2). Figure 2 Fill the cell with a specific color and then follow the time schedule of the A group (9.15-9.18), select the corresponding time period in the right time, select the time table and the same as above, fill with the same color, so the purple part It corresponds to the completion time of the A group leader (Figure 3). Figure 3 shows that the person in charge and its corresponding time cell are filled with the same color as above, and the cells of D5→D9 are also filled with the same color, thus completing the construction of the Gantt chart. Once the Gantt chart is completed, both the project manager and the respective sub-project leader can easily see the project they are responsible for and the time required by different color labels (Figure 4). Figure 4 Building a good Gantt chart: What is a Gantt chart? The Gantt chart is a chart of the pioneers of the scientific management movement — — Henry · Lawrence · Gantt, which graphically represents the sequence of activities of any particular item through the activity list and time scale. With duration, you can let any participating user see the progress of the project at a glance. For a whole project, many sub-projects are interlocking, so for projects that need to be completed within a specified time, we must ensure some key points in time. These time points are called “key milestones”, which is a time point that must be guaranteed for a stage work, and the successful completion of this time point determines whether the work after the milestone can be guaranteed. For example, in the above-mentioned projects, the goods are placed in the shopping malls and shopping malls. Because the National Day promotion of the shopping mall starts at 7:00 on the 9.29th, we must ensure that the goods on the shelves are completed before 7:00 on the 9.29th, 9.29 days. It is the key point in time. To ensure that similar key points in time can be highlighted in project management, this is done by inserting key milestones. If you need to insert a key milestone at 9.29, select S8 (the cell corresponding to 9.29) in the project, right-click and select “Insert Comment”, then enter the key comment you want to prompt and fill it with a bold red color. 5). Figure 5 inserts key milestones at the specified time points in the specified cell insertion key milestones, so that throughout the project management, we can make eye-catching reminders and distinctions in red. If there are multiple milestones, for a more intuitive view, you can also create a milestone time icon by inserting icons (Figure 6). Figure 6 Production milestones After completing the project management content construction, it is necessary to follow up in the subsequent actual management, so that the project can be completed in time. In the above content construction process, we used Gantt charts, milestones and other professional tools to build the project. In the subsequent management, we can also use these to check the project implementation progress in time. For example, the C leader we use the green mark, so when we need to view the contents of the C group, we just need to select D6, then right click and select “filter → filter according to the selected cell color <; (Figure 7). Figure 7 Filter by the selected cell color so that all the green items in the project will be automatically collected together, which is convenient for the participants to view, and also facilitates the manager to check the progress of the responsible person, so as to better manage the project saving time ( Figure 8).
